Citizenship / Family documents
A family application is several individual files.
A household can apply together only where the programme permits it. Each person still has an identity, a qualifying relationship and a document trail. Start by mapping those facts. Ordering a pile of notarized copies before confirming the requirements can create expensive paperwork that nobody can use.

Build the household register first.
Create one row per proposed applicant with full name, date of birth, nationality, current residence, relationship to the principal and passport expiry. Add previous names and any approaching age boundary. Keep the register consistent with the civil documents, rather than shortening names to match everyday usage.
Then test inclusion against the chosen route. El Salvador’s current public portal specifies one spouse and children under 18. Vanuatu family categories require their own current eligibility confirmation, particularly for adult children and parents. A price for a family of four does not explain which four people qualify. Dependence, age and relationship are separate tests where the rules require them.
Give each record a purpose.
This is a preparation map, not an official application checklist. Police records, medical information, references, photographs and CVs may be required in specific forms. The applicable checklist determines who supplies each item, its date window and the acceptable format.

| Record group | What it connects | Common issue to resolve |
|---|---|---|
| Identity | Passport, birth record and current name. | Different spellings, incomplete names or previous name changes. |
| Relationship | Marriage, birth, adoption or other applicable civil status. | A certificate that does not establish the required parentage or current status. |
| Dependency | The facts supporting a qualifying dependent category. | Age alone presented as proof of financial dependence. |
| Consent and custody | Who can authorize a child’s application or travel. | Missing consent or an order whose scope is unclear. |
| Residence and background | Address history and the checks required for each person. | Unexplained gaps or an address used only for correspondence. |
| Financial evidence | The principal’s wealth and the proposed programme funds. | A balance without an acquisition or funding narrative. |
Resolve inconsistencies before certification.
Civil records sometimes use different transliterations, omit a middle name or reflect an earlier marriage. Record each difference openly and determine whether it requires a corrected record, a name-change document or an explanatory statement. Do not silently alter a scan to make the documents agree.
For a child, identify the documents establishing parentage and the authority of each person providing consent. Divorce, sole custody, adoption or a deceased parent may change the evidence needed. These issues can require qualified local advice. A programme coordinator cannot replace a court order or assume that a travel permission also authorizes a nationality application.
A copy, a certification and a translation do different jobs.
Certified copy
Confirms the copy against the original through a person accepted by the receiving authority. It does not make the document’s underlying content true or resolve a name discrepancy.
Notarization
May concern a signature, declaration or copy, depending on the act performed. Ask which act is required and who may perform it. Paying for a notarial stamp without that instruction can leave the requirement unmet.
Apostille or legalization
Authenticates a public document through the applicable international or consular process. The document’s origin, receiving country and document type determine the route. Do not assume that every item needs the same treatment.
Translation
Makes the content usable in the required language and format. Confirm whether a certified translator is required and whether the translation must include stamps, reverse pages and attached certifications. Keep it paired with the source document.
Order work around validity windows.
Locate durable records
Start with civil records, previous names, historical addresses and documents that may take time to replace. Check completeness before paying for certification.
Confirm the filing checklist
Identify the required issuing authority, format, translation and certification for each item. Assign responsibility and a target date.
Time short-lived documents
Order police clearances, medical forms and other time-sensitive records around a realistic filing date. An early order can expire while another document is still missing.
Review the complete household
Check every applicant together before submission. Track questions against an individual and a record, so that one unresolved item does not disappear in a shared family folder.
Keep the file useful and controlled.
Use a document register with status labels such as needed, requested, received, checked and submitted. Store original files separately from working copies, and avoid putting passport numbers or children’s names into public task titles. Record who has access and which party is responsible for retention.
For the first enquiry, a short description of the household is enough. Detailed documents belong in the agreed intake process after the purpose and scope are clear. You should know why a sensitive item is requested and who will receive it. A website checklist is not permission to collect every possible record.
Before you decide
Common questions.
Do all family members need the same documents?
No. Core identity records overlap, but age, relationship, residence history and programme rules change the requirements. The confirmed checklist should be organized by person rather than copied indiscriminately for everyone.
Can a mailbox be used as proof of residence?
A correspondence address and actual residence are different facts. Use evidence that truthfully supports the purpose of the request. A bank or authority may require further records when a mailing service is involved.
Should we book travel before approval?
Do not build a fixed travel plan around an unissued passport. Confirm any necessary appointments and distinguish refundable arrangements from commitments that depend on an application outcome.
